     It's not easy to exceed the expectations of those at the top. But a small ship charters can become that  "once in a lifetime experience" for guests with high expectations.  Our mission is to assist you in coordinating the event that "Blows Their Socks Off" whether on-board private luxury charters for as few as 22 VIPs or groups as large as several hundred.

     Charter a ship, and you control who sails; where the ship goes; when it leaves the dock; and all events on-board. A full-ship charter offers "The Ultimate Corporate Get Away” where guests can share a private, unique, exciting, and relaxing respite that opens a world of endless possibilities. Guests enjoy unique overseas experiences and multiple destinations without packing and unpacking. There are ships appropriate to every need sailing to most of the world's exciting destinations. River cruises offer countless itineraries throughout U.S, Russia, Europe, & China. Other unique itineraries include Alaska; Antartica; Polynesia; and the Galapagos Islands.

      A small ship charter offers the most secure environment for VIPs and upscale groups. The environment on-board is totally controlled with high security screening for access. World leaders often choose to charter then remain out at sea for ultimate security during their private meetings.

      Dealing with just one key U.S. contact, and making one all-inclusive payment  in U.S. Dollars saves the meeting/event planner time and energy.  There are no run-away costs for AV equipment, refreshments and other necessities which hotels and resorts are quick to bill at last-minute prices.

       Our first response to any inquiry is to summarize  (at no cost to the client) the  variety and  choices of appropriate options to assist in formulating an  initial plan. This helps to identify the preferred type of ship;  port of embarkation; and  exciting itineraries that fit within a specific time frame, such as (4-5 days). We know which cruiselines and vessels provide reliable, top-notch service.

     Our outline will summarize initial pricing for a variety of options and includes a general overview. As the client refines more specific details pertaining to exact needs, we then narrow down the choice of ship, fine tune the itinerary and pricing, and detail  the events and service to be provided on-board. 

      Initially we select a variety of different ships. Some offer all-inclusive pricing with charter rates independent of the number of passengers on-board - this can be ideal for a sports event charter.  Such ships generally offer one flat rate that includes port charges, taxes, gratuities and unlimited alcohol for the entire charter,  exclusive of number of passengers. These ships make it possible to forecast the exact cost of the event, regardless of the final number of guests.

     Our initial outline, intentionally "outside the box", will include diverse alternative options not commonly considered, and reflects our experience with specialty, "niche" yachts or ships throught the world. Charters create wide opportunities for guests to experience exciting and often unique new activities or events. One option, for example, might be a unique American River cruise that includes a day at a prominent event such as "The Kentucky Derby", or perhaps a private tour including dinner at a European  "Royal Palace". 

     The following charter comparison chart summarizes the our initial summary estimates for a recent charter assuming 4-5 day sailing (based on designated sailings). The client wanted a ship with capacity for  150 passengers, or possibly larger. Ship #2 indicates 7 days only because client is actually paying for a 7 day charter and then allocating whichever 4-5 day itinerary fits the client objectives. On the ships with capacity exceeding 150 passengers we calculated costs based on 150 guests only. Any special events, unique itineraries or shore excursions, and personalized extras could raise the costs.

  GENERAL CHARTER RULES

 
        The overview above  indicates the price-range to expect for a specific cruise line and ship. Rates will vary widely depending upon date of charter; duration; itinerary; specific services desired on-board; number of days; relation of charter to normal itinerary and routine of the specific ship; and projected occupancy level just to mention some of the information required for us to obtain an accurate and specific charter and per person cost.

        These are just some of the reasons a more exact price cannot be generated from a generic price list. Our role is to devote the time and expertise necessary to assist each client to choose the appropriate ship, cruise line, and itinerary.

        Sometimes, the charter client is responsible for all “extraordinary” costs including increased port charges, value added taxes, event related tariffs and more. Charter quotes may or may not include beverages, gratuities, taxes, and a host of other 'add-on' charges. In the example above we have attempted to approximate these charges to create a consistent total cost comparative based on 150 passengers or maximum passenger capacity (if less than 150).

        A charter quote is based on “normal” on-board operation which means that the cruise line expects the total revenue for the week to equal the normal revenue earned by that ship performing normal operations for the period. The charter client is sometimes responsible for losses in on-board revenue resulting from changes to the normal operation. This could include losses in anticipated on-board revenues for the casino, spa, boutiques, premium wines/spirits, phone/internet, and shore excursions. For example, a premium might be added to the quoted charter rate should the client choose to purchase their own shore excursions,
eliminate alcohol consumption on-board, or close the casino during the charter.

        After all the initial details are arranged and pricing negotiated, a "Charter Party Agreement" contract is signed, there is no recourse on cancellation.

        Charter contracts usually require a 10% - 25% non-refundable deposit plus an "Irrevocable Letter of Credit" for the balances due at specified times after signing of the "Charter Party Agreement". The letter of credit is security in the event of default. All port charges, taxes and manifest are usually due months in advance, and usually no later than 30 days prior to sail date.

CONCLUSION

        It is our hope that this outline of exciting charter options clarifies the wide variety of choices available. Further discussion will focus and narrow the client's developing specifications. With the open questions answered, we can prepare a concrete final proposal with specific pricing.

        Cruise lines go out of their way to customize and personalize your sailing experience when you charter.  Some will ‘brand their vessel’ for "Your" group charter. Clients can usually expect their corporate logo on daily menus and event programs; personalized stationary in their cabin; and special event programs.  Some cruise lines will take it to the next level and permit the client's company logo at the bottom of the pool, or create personalized stateroom door plates - for an additional fee.
